ArchiDoc began cooperation with InterRisk. Under the project the outsourcer provides a service which facilitates the process of claim management and the processing of insurance policies. The solution, which is supported by ArchiDoc’s proprietary IT system INDO, is profiled for the needs of the insurance sector.
Under the project ArchiDoC records and scans electronic versions of documents and claim files and makes them available for use by InterRisk. Paper documents are kept in an archive, but the processing of claims is continued based on system data. This makes accessing information faster and facilitates the process of servicing the insurer’s customers who hold policies or report claims. Electronic files are made available to authorised employees of the insurer at the level of the service provider’s proprietary application INDO Online, which is additionally integrated with the client’s IT system.
"Easy access to the electronic versions of documents reduces time needed to process each case. We attach great importance to the quality of our customer service. This is the reason why we have decided to implement solutions which allow us to streamline business processes", said Monika Lewandowicz, the Director of InterRisk’s Settlement Center.
ArchiDoc is in charge of handling documents related to the recorded claims at all process stages. The outsourcer receives customers’ claim reports on various carriers, sent in via mail, email and fax, or transferred directly from the insurer. Within 24 hours electronic versions of documents are made available to InterRisk’s employees, who use them as a basis to begin the processing of the given claim.
Policy documents which have been registered in the insurer’s IT system are sent to ArchiDoc’s operating center. After indexing they are entered into the INDO Online application, which performs the function of an electronic repository. Authorised InterRisk’s employees have constant access to the policies, which allows them to response to claims reported by customers instantly and without additional costs, and to, for example, collect evidence.
"For the last several years ArchiDoc has supported insurance agencies in key processes related to claim management and the handling of policies. By utilizing our operating capacity we can record and digitize several million documents every year. This allows us to provide our clients with pre-verified electronic versions of documents at a very short notice. An additional advantage is access to a convenient online platform, which allows multiple employees to work on the same document at the same time, including remotely. Digitization also ensures more effective protection of information", said Konrad Rochalski, the President of ArchiDoc’s Management Board.
Paper versions of claim and policy documentation are stored in ArchiDoc’s storage, which is compliant with strict safety requirements. If necessary, InterRisk’s employees may order original documents, which are then delivered at the indicated address by a courier. The entire process is closely monitored, which makes it possible to track the status of specific documents, e.g. who borrowed them and when. The archiving process is implemented in accordance with
legal regulations in force.
